View Full Version : File Sizes in Word 97/2000

Hi everyone. It's been ages since I visited here and It's nice to see all those friendly names are still around. Happy new year to you all anyway.

Can anyone help me with something that is more of an irritation than a problem? I work from home and type then email my reports to various colleagues dotted around the UK. Without boring you with the nature of my work, suffice to say that my reports very often require accompanying photographs. Traditionally, these have been 35mm mounted on A4 paper. In recent months I have started including digital photos at the conclusion of my reports and my colleagues are more than happy with this. The problem, however, is the size of the Word 97/2000 file once the photos have been included. My digital camera setting is on minimum size (.8 megapixel) and I jpeg the files in Paint Shop Pro down to about 40 -50 kb before they go into my report. However once I have three or four pictures included the file becomes around 2mb+. This is no real problem for me personally or my colleagues because I am on broadband and they are networked but it is annoying, nonetheless because I cannot suss it out! Can anyone offer any help?

Hi markjj,

If you have saved the graphics as jpg's then they won't compress much more, if at all. The only thing I can suggest is to compress the finished file with Winzip (http://www.winzip.com) or similar but I don't think it will make a huge difference unless you are dealing with many pages of text.

Winzip would be a good idea but I know my colleagues do not use/don't have access to winzip on the network. I'm convinced the issue lies in some setting in Word. My reports without any photos are around 30kb in size. Once I've pasted 3 or 4 50 kb photos one would assume the file to increase accordingly, i.e. 30kb + (4 x 50kb) = 230kb, not in excess of 2mb as is currently the case.

A work around would be to attach the photos separately to the email although that does not give me the desired professional finish for my reports.

Anymore advice will be gratefully received.

After further digging around I seem to have resolved the issue. It is caused by a design in Word and is covered by Microsoft under Q224663. A little change to the Registry and, hey presto, my file sizes are now 240kb rather than 2mb. Brilliant!

Hi Mark, glad you got it sorted.

That's definitely one to look out for by anyone who works with graphics in MS Word. Here (http://support.microsoft.com/default.aspx?scid=http%3a%2f%2fsupport.microsoft.c om%2fsupport%2fkb%2farticles%2fQ224%2f6%2f63.ASP) it is for anyone interested.

Although it probably doesn't matter now but my next suggestion was going to be to click on File then Version to see if there were any pre-saved versions and delete them. Apparently this can increase file sizes if you have used this option.
