I've mastered how to take screen shots but these are usually very large files, around 4.2Mb for just an image of an e-mail.

Is it possible to change the resolution to something far lower so I can easily and quickly send these as attachments?

Save as a .jpg or .png, not .bmp.

Gadwin PrintScreen (http://www.gadwin.com/) will capture a chosen rectangular region on screen and can be configured to [among other configurations] save to a jpg file.
It's necessary to choose reasonably small regions in order to stay within the 19.5 kB limit at this site.
You can upload a max of 5 files in any one post here.

That lot below is actually in 5 screenshots of 7,4,4,3,2 kB.

I've been using Paint but when saved in Word it seems to default to Bitmap and I don't see an option to save as jpg or other, sorry.

take a screen shot, then import it into GIMP (http://gimp-win.sourceforge.net/), then save as another format, for example, .png you can choose compression, also, in GIMP you can scale down the image size.
